How do I schedule meetings with Xena?

Xena is there for your scheduling needs, both as a direct chat and in Slack (or, you know, as an old-fashioned booking link).

Chat: Xena is available as a Chrome extension and appears inside your Google calendar where you can chat with Xena directly.

Slack: When engaging with Xena in a Slack channel or group message, simply @Xena with your scheduling request. 

In either case, you can include a specific date and time or let Xena figure out when attendees are available. You can also specify duration, name of the meeting, and whether you want Summary and notes on for the meeting. 

Booking link: If you would rather send a personal booking link, you can find that under preferences.

How does Xena know when everyone is available?

If you have integrated Xena with your Google workspace and calendar, Xena will automatically know your availability, existing meetings, and preferences. If all attendees use Xena, the meeting can be scheduled instantly for when everyone is available (no need to compare everyone’s calendars). 

If some of the meeting attendees don’t use Xembly, Xena will provide a few options for the group and even suggest ways to handle potential conflicts. This works on both chat and Slack. All you will have to do is respond with your preferred option.

What do I need to get started with Xembly and Xena?

You can sign up for a Xembly account at Xembly.com/Signup. The onboarding process only takes a couple of minutes and will walk you through the steps. 

At the moment, Xembly requires that you have a Google Workspace account to get started. By signing up with Google you will then be able to connect your calendar, install the Chrome extension, integrate Xembly with your Slack account, and connect Google Meet or Zoom. You will now be able to schedule meetings in Slack or via the Chrome app, have Xena take notes in all your meetings and provide a concise recap, and make sure nothing falls through the cracks with the task management feature.
